Version 1.0 | Authorized User Documentation
Welcome to your new Operating System. This template is a complete ERP (Enterprise Resource Planning) engine designed to calculate Cost, Profit, and Inventory automatically.
Please read this guide to understand how the data flows.
⚠️ The Golden Rules (Read First)
[!IMPORTANT]
Rule #1: The "One-Way Street"
This system uses Line Items to calculate totals.
- ❌ NEVER manually type the "Grand Total" of an Order at the top of the page.
- ✅ ALWAYS add rows to the Item Table inside the order. The system will sum them up for you.
Rule #2: Work Inside the Page
When adding items to an order (Sales or Purchase), do not use the "Relations" at the very top of the page.
Scroll down to the table inside the page body. That is where you enter Quantities.
🚀 Quick Start: The 4-Step Workflow
1. Set Up Your Inventory 📦
Before you can sell or build, define what you have.
- Go to the Item Library.
- For Raw Materials (e.g., Wood, Fabric):
- Create a new item.
- Set Type to "Raw Material".
- Standard Cost: Enter the price you usually pay (e.g., $5.00). Critical: If you leave this at $0, your production costs will be wrong.
- Reorder Point: Set the minimum safe quantity (e.g., 20).
- For Finished Products (e.g., Table):
- Create a new item.
- Set Type to "Finished Product".
- Sales Price: Enter your selling price.
- Link BOM: Scroll down to the BOM section and link the raw materials needed to make this item.
2. Purchase Stock 🛒
Log expenses and fill your warehouse.
- Create the PO:
- Go to Purchase Orders and click New.
- Select the Vendor and Order Date.
- Tip: If the item table doesn't appear, click the "New Standard PO" template button.
- Add Materials:
- Scroll down to the "PO Line Items" table inside the page.
- Click + New at the bottom of the table.
- Item: Select the material (e.g., "Oak Wood").
- Qty Ordered: Enter the amount you want to buy (e.g., "100").
- Repeat for each item in the order.
- Receive Goods:
- When the shipment arrives, open the same PO.
- Update the Status (e.g., from "Sent" to "Partially Received" or "Received").
- Update the
Qty Received column in the table.
- When you enter a number in "Qty Received," your Stock Level updates automatically.
3. Produce Products 🔨
Turn materials into finished goods.
