Welcome! This guide walks you through every part of the Dental Clinic OS — what each database does, how they connect, and the day-to-day workflows for running a dental practice. Read it once top to bottom, then keep it as a reference.

1. What's inside

The system is built on 7 interconnected databases. Every record links to related records, so you can navigate from a patient to their appointments, from an appointment to the treatments performed, and from a treatment to its invoice — without duplicate data entry.

Patients Your CRM: every patient with insurance details, alerts, and recall cadence Appointments, Treatments, Invoices, Documents, Tasks
Appointments The hub: your schedule, with type, provider, operatory, and status Patient, Treatments, Documents, Tasks
Treatments Procedures planned and performed, with ADA codes, tooth numbers, and prices Patient, Appointment, Service Catalog
Invoices & Payments Every money movement in AND out: patient invoices, insurance claims, payments, refunds Patient, Treatment

No manual math. Lifetime Billed, Total Collected, Outstanding Balance, and # Visits are computed automatically from linked records. Keep the relations filled in and the numbers stay correct.

2. Getting started (15 minutes)

  1. Review the Service Catalog. Open Service Catalog and adjust prices and durations to match your fee schedule — add your own services too.
  2. Register a patient. In Patients, create a new entry — the Patient Template loads automatically with linked views for appointments, treatments, invoices, documents, and tasks.
  3. Book appointments. Add them in Appointments with a type, provider, operatory, and time. The Schedule calendar and Today view run your front desk.
  4. Plan treatments. Log planned and completed procedures in Treatments, linked to the catalog service — the price variance shows instantly.
  5. Bill and collect. Every invoice, claim, and payment is one row in Invoices & Payments — set Direction (In/Out) and link the patient.
  6. Delete the sample data. The template ships with a realistic sample practice (Amelia Hart, Marcus Lee, and friends) so you can see everything working. Once you've explored, delete the sample rows in each database.
