1. Set up your workspace

  1. Duplicate the entire Business CRM home page, including its databases and templates. Duplicating only one database can leave relations pointing outside your copy.
  2. Keep the fictional sample data while learning the workflow. All names, pricing, contact details, and document summaries are illustrative; example websites and emails are not real customer channels.
  3. Invite your team with appropriate access. Assign owners on real records; templates deliberately contain no fixed person, customer, or date.
  4. Review the Products & Services catalog and replace sample offerings with your own pricing units, prices, and cost estimates.
  5. Create one test company, contact, deal, and quote line. Confirm that both sides of each relation populate and the deal total changes as expected.
  6. Add the optional Quick Actions buttons using the instructions below. Native database New menus work without buttons.

Currency: USD. Team-ready: owner and assignee properties. Calculations: formulas, not rollups. No automated outreach, bank sync, recurring billing, or e-signature service is configured.

2. Know where each record belongs

Database Use it for Important distinction
‣ One sales opportunity or renewal The commercial hub, not a delivery project plan
‣ Customers, suppliers, and referral partners One company can have several relationship types
‣ People and their buying roles A contact belongs to one company but can join multiple deals
‣ Current offering catalog Reference pricing, not historical quote pricing
‣ Priced quote lines Prices and costs are saved snapshots
‣ Installments, receipts, refunds, and supplier cash Only Paid transactions affect cash
‣ Calls, emails, meetings, demos, and notes Interaction history, not an email/calendar integration
‣ Assigned next actions Work still to do, rather than interaction history
‣ Proposals, agreements, invoices, receipts, and evidence Files and workflow records do not add cash a second time

3. Run the sales workflow

Capture and qualify

Create or find the Company before making a duplicate. Choose Relationship Type, Lifecycle, Account Owner, and Next Follow-Up. Add Contacts with Company, Buying Role, Relationship Owner, and verified communication details.

Create a Deal for a specific opportunity. Select Company and Contacts, assign Deal Owner, and set Expected Close Date, Lead Source, and Win Probability. Enter probability as a percentage in Notion, such as 60%, not the number 60 in a raw import. The underlying value is a fraction from 0 to 1.

Typical progression: New → Qualified → Discovery → Proposal Sent → Negotiation → Won or Lost. Use only stages that match the actual situation.

Build the quote

Open the deal and add rows in its Deal Items table. Each line needs:
